Duties & Responsibilities

1. Location/rooms prep

Ensure event task list adhered to daily by event team

Ensure alla event/seminar/conference spaces are in lign with quality expectations

Supervise event logistics team

Liaise with cleaning team to ensure high quality spaces

Work with community team to provide 5 star service

2. Maintenance

Supervise and cordinate all maintenance activities

Ensure daily/weekly maintenance checklists are adhered to

Supervise maintenance activities of event team

3. Business development

Provide sales support to EM

Conduct site walkthroughs by prospective clients

CRM maintenance of new leads

Follow up with new leads received

Assist drafting of quotes and contracts/SLA's

4. Pre event preperation

Supervise and coordinate all pre-event activities

Ensure pre-event checklist activities are adhered to

5. Event functions

Assist with event planning

Create running orders

Supplier management

On site client support and event logistics

Supervise event team during events

6. Post event

Supervise and coordinate post event activities and checklist

Liaise with EM and ensure open communication

7. Event reports

Create + Print Wifi/Welcome/Signage posters

Operations report - Events observations

8. Client relationships

Build and maintain strong relationships with eventing client

Ensure 5 star client sattisfaction by event team

9. Team supervision

Redirect and reprimand staff as required

Report non-adherence to EM

Support and provide input to EM for performance managementment

Ehance and matintain collaboration and comunication in the event team

Support and motivate event team members

Desired Experience & Qualification

  • 2 Years relevant work experience, in the eventing/hospitality or co-working/shared office sectors

  • Matric

  • A diploma / certificate or degree in hospitality or eventing; studying towards same.

  • Ability to handle multiple requests, work effectively in a fast-paced environment, and to be responsive to customer requests/service issues.

  • An upbeat, energetic, positive, mature and professional attitude

  • The ability to multi-task in a fast-paced environment

  • Attention to detail and accuracy

  • Ability to work well under pressure and with a diverse range of personalities

  • Excellent communication skills

  • Computer Skills (Google Suite/Slack and proficiency in MS Word, Excel, Powerpoint or Mac equivalents)

  • Ability to clearly communicate with a diverse range of stakeholders within and outside the organisation

  • Ability to navigate ambiguity in a rapidly changing environment and to oversee projects or implementation of national initiatives through to completion.

  • Understanding and knowledge of industry trends and direction.
