Duties & Responsibilities

1. General host/hostess duties

  • Greeting and welcoming guests
  • Manage the flow of guests into the space; provide accurate wait times to incoming guests if appropriate.
  • Front Desk Duties- Answer incoming calls to the space and provide appropriate service.
  • Receiving deliveries for members.
  • Tend to special guests’ needs and requests.
  • Observant to guests’ needs throughout W17’s experience to ensure high quality service
  • (anticipating guests’ needs)
  • Providing efficient communication to all relevant parties through slack / email

2. Membership duties

  • daily/weekly/monthly space checks
  • Intercom management and responses
  • Building relationships with our members
  • Walkthrough for new members
  • Member engagements
  • On & offboarding - my.W17, printing
  • Update Community List & Folders (my.W17 & Drive)
  • Assist with onboarding/offboarding
  • Assist with community networking initiatives
  • Membership overview
  • Parking recons / access cards etc
  • Checking that credits have been allocated (01st)
  • Assist CM with invoices
  • Assist with general filing
  • Schedule for public events

3. Business development

  • Assist CM with sales walkthroughs
  • Check that all speedpoint sales are loaded to the sheet
  • CRM management

4. Team roles

  • Weekly team meeting prep
  • Weekly 1-on-1 with CM

5. Location maintenance

  • Help logistics team by setting and clearing desks and chairs.
  • Contribute to team effort by accomplishing related tasks as needed.
  • End of day cafe stuff allocation & invoice
  • Maintenance list
  • Liaising with cleaning team
  • Maintenance walk through weekly
  • Print & put up newsletter content weekly

Desired Experience & Qualification

  • 2 Years relevant work experience, in the eventing/hospitality or co-working/shared office sectors
  • Matric
  • A diploma / certificate or degree in hospitality or eventing; studying towards same.
  • Ability to handle multiple requests, work effectively in a fast-paced environment, and to be responsive to customer requests/service issues.
  • An upbeat, energetic, positive, mature and professional attitude
  • The ability to multi-task in a fast-paced environment
  • Attention to detail and accuracy
  • Ability to work well under pressure and with a diverse range of personalities
  • Excellent communication skills
  • Computer Skills (Google Suite/Slack and proficiency in MS Word, Excel, Powerpoint or Mac equivalents)
  • Ability to clearly communicate with a diverse range of stakeholders within and outside the organisation
  • Ability to navigate ambiguity in a rapidly changing environment and to oversee projects or implementation of national initiatives through to completion.
  • Understanding and knowledge of industry trends and direction.
